This policy explains how we collect and use your personal information, to deliver services you request from us, in accordance with the current UK Data Protection Legislation and The Privacy & Electronic Communications Regulations (PECR).

This policy applies to THL Accountancy Ltd (registered number 13480002) who are a limited company registered by the Institute of Chartered Accountants in England and Wales and at Companies House in England and Wales. Our registered office of 303 Goring Road, Worthing, BN12 4NX.
“We”, “us”, “our” and “ours” means THL Accountancy Ltd.
Data controller
For the purposes of data protection regulation, we are the “data controller”. This means that we are responsible for deciding how we hold and use personal data about you.
What is personal and sensitive data and how we may collect it
Personal data relates to any information that makes you identifiable. The personal information we may collect from you (but not limited to) might include your full name, address, telephone number, email address, your Unique Tax Reference (UTR) number, your National Insurance number, bank account details, your IP address.
Sensitive data refers to the above but also includes genetic and biometric data such as, medical conditions, religious, philosophical, and political options, racial or ethnic origin, convictions, and biometric data (e.g., photo in an electronic passport/driving licence).
We may obtain personal information from a variety of sources, such as:
- Information that we collect from you directly when you engage with us to provide our services and also during the provision of those services
- When you contact us by email, telephone, post, or social media
- Information that you provide by filing in the online enquiry form on our website
- From third parties and/or publicly available resources (for example, from your employer or Companies House)
- Information that we collect when you visit out site:
- Cookies are text files put on your computer to collect standard internet log information and visitor behaviour information. This information is then used to track visitor use of the website and to create statistical reports on website activity. You can set your browser not to accept cookies and the above websites tell you how to remove cookies from your browser. Please note in a few cases some of our website features may not function because of this.
- Analytics – e.g. how visitors use our website. We use Google Analytics to store information about how visitors use our website so that we may make improvements and give visitors a better user experience. Google Analytics is a third-party information storage system that records information about the pages you visit, the length of time you were on specific pages and the website in general, how you arrived at the site and what you clicked on when you were there. These cookies do not store any personal information about you e.g. name, address etc and we do not share the data.
- IP addresses – An IP or Internet Protocol Address is a unique numerical address assigned to a computer as it logs on to the internet. THL Accountancy LLP do not have access to any personal identifiable information, and we would never seek this information.
- Information that we collect about you from other commercially available sources (such as credit reference agencies).
How your information is used
We take your privacy seriously and will only use your personal data for purposes necessary for the performance of providing the services requested, and to comply with our legal obligations. We many use your personal data in order to:
- Carry out our obligations arising from any engagements entered into between you and us (for the provisions of our services) andobligations arising from any engagements entered into between our clients and us where you may be an employee, subcontractor, supplier, or customer of our client
- Contact you by post, email or telephone
- Verify your identify where this is required
- Understand your needs and how they may be met
- Maintain our records in accordance with applicable legal and regulatory obligations
- process financial transactions to you or your employees, if you use our payroll service
- prevent and detect crime, fraud or corruption
Data retention
To comply with regulatory requirements, we are obliged by legislation to retain data where we have ceased acting for you. We will only retain your personal data for as long as necessary to fulfil the purposes for which it is collected. The period of retention required varies but is typically six years.
Who has access to your information and data sharing?
THL employees will have access to your personal information but have a duty to respect confidentiality of information acquired under the ethical standard that the firm are required to follow.
Third Parties
We will not sell your information to third parties and will only share personal data with third parties where we are:
- required by law
- where it is necessary to administer with third-party service providers, agents, subcontractors and other associated organisations for the purposes of completing tasks and providing services to you on our behalf. For example, IT and cloud services, professional advisory services, administration services etc.
When third party service providers are used, only personal information that it necessary will be disclosed. All third-party service providers are required to have appropriate security measure to protect your personal data.
Transferring personal data outside the European Economic Area (EEA)
If appropriate, we may transfer your personal data to other professional organisation in countries out the EEA which do not have the same level of data protection as in the UK. We will ensure your personal data is properly protected and that we have in place EU Model Contractual Clauses which require your personal data to be safeguarded in accordance with the law.
The other professional organisations include Glocal Pinnacle Solutions Private Limited (CIN – U74999MH208PTC314784) of Unit No B – 501 & 502, Mangalya Complex, Marol Maroshi Road, Marol, Andheri (East), Mumbai 400 059, India. We reserve the right to change these professionals as and when appropriate but will keep you informed of any changes that affect you.
Data security
We take the protection of your privacy very seriously and are committed to respecting and safeguarding your personal information. We have put in place appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way.
Non-sensitive details (your email address etc) are sent normally over the internet, and this can never be guaranteed to be 100% secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us, and you do so at your own risk.
Once we receive your information, we make our best effort to ensure its security on our systems. Where we have given (or where you have chosen) a password which enables you to access certain parts of our websites, you are responsible for keeping this password confidential. We ask you not to share your password with anyone.
We have put in place producers to deal with any suspected data security breach and will notify you and any applicable regulator of a suspected breach where we are legally required to do so.
Access to your information, correction, portability, and deletion

Objections to processing of personal data
It is your right to lodge an objection to the processing of your personal data if you feel the “ground relating to your particular situation” apply. The only reasons we will be able to deny your request is if we can show compelling legitimate grounds for the processing, which override your interest, rights and freedoms, or the processing is for the establishment, exercise, or defence of a legal claims.
Data portability
It is also your right to receive the personal data which you have given to us, in a structured, commonly used, and machine-readable format and have the right to transmit that data to another controller without delay from the current controller if:
- The processing is based on consent or on a contract, and
- The processing is carried out by automated means.
Your right to be forgotten
You can request erasure of your personal data. This enables you to ask to delete or remove personal data where there is no good reason for us continuing to process to or where you have exercised your right to object to processing. Complaints
If you feel that your personal data has been processed in a way that does not meet the GDPR, you have a specific right to lodge a complaint with the relevant supervisory authority. The supervisory authority will then tell you of the progress and outcome of your complaint. The supervisory authority in the UK is the Information Commissioner’s Office.
